Introduction to Profiles
What is Profiles?
Profiles is a research networking and expertise mining software tool. It not only shows traditional directory information, but also illustrates how an individual faculty member is connected with others in a broad research community.
When an individual profile is viewed, three types of information are displayed:
- Managed Descriptions
- This is the typical information listed in a research profile, including name, titles, affiliation, contact number and email address. All edits for this information need to be made in PeopleSoft, as the information displayed on Profiles is pulled from PeopleSoft.
- Passive Networks
- Passive networks are formed automatically when faculty share common traits such as being in the same department, working in the same building, co-authoring the same paper, or researching the same topics (as defined, for example, by the "MeSH" keywords or other keywords assigned to publications).
- Active Networks
- Active networks are the ones defined by you, the faculty member. When users login to the website to view profiles, they can select an individual as a collaborator, advisor, or advisee. This allows an individual to build his/her own network of people. Currently, these self-identified groups are only visible to the user. In the future individuals will be able to share his/her network with others. Active networks are shown on the left sidebar.
Who is included in Profiles?
Profiles includes faculty members from Wake Forest Baptist Medical Center.
Searching Profiles
How do I start a search on Profiles?
From the Profiles main page, simply enter in keywords, faculty name, or select a department listed to begin a search. All faculty members matching the search terms will be displayed with the option to select each individual and find out more information about that faculty member.
Do I have to log in to do a search?
You do not need to login to complete a search. The main page will allow anyone to search for faculty member by first name, last name, keyword, or department.
Can I look at information from other institutions?
It is possible to search other institutions who participate within a national consortium – Direct2Experts.org - from your search results page. On the right side column, under the Keywords heading is a hyperlink titled "Search Other Institutions." By selecting this link, a list of participating institutions will populate, showing the number of matches at each location. Selecting a result institution will connect you directly to that institutions' research networking site.
How are search results ordered?
When searching by Keyword, Profiles returns researchers with the strongest match to that keyword. The strength of this match is determined by the following factors:
- The number of publications
- Major/Minor keywords
- Your place in the author order
- Year published
Researchers with a stronger score will rank higher in the results.
When searching by criteria other than Keyword, results will be ordered by a researcher's number of publications, where those with more publications appear at the top.
What does "Why" mean in my search results?
Results from a keyword search will display with "Why" hyperlink to the right of a matches name. This link displays publications from the individual that matches your search criteria.
Viewing a Profile
Where does the demographic and publication information come from?
Directory information was obtained from the PeopleSoft, and publications and keywords were imported from PubMed. Lists of co-authors and similar people are derived automatically from publications, and the department and neighbor lists are determined automatically from directory information.
How often is the system updated?
Directory information, such as names, titles, affiliations, and contact information is repopulated nightly from changes made in PeopleSoft. Keywords, similar people and publications data are updated nightly. Faculty can edit their profiles at any time. Note: editing in Profiles will not update the information in PeopleSoft.
Where does 'similar people' come from?
Lists of co-authors and similar people are derived automatically from publications, and the department and neighbor lists are determined automatically from directory information.
Where do 'keywords' come from?
These are derived automatically from the PubMed articles listed in the individual profile.
How are physical neighbors found?
Physical neighbors are determined based on a combination of geographic location and total number of publications.
Why doesn't the network view display on my iPad?
The network cloud is designed to be viewed using Flash player. Currently, and for the foreseeable future, iPads do not have the ability to view programs using Flash. To use the network view, you will need to access Profiles via a desktop or notebook computer.
Managing My Profile
Why am I not listed in Profiles?
Profiles includes all faculty members from Wake Forest Baptist Medical Center who are listed on the public website. If you have opted out of displaying on the public website, you will not be included in Profiles.
How do I show/hide my email address or phone number?
If you have opted out of showing your email address or phone number on the public website, this information will not appear in Profiles. If you would like to change this option, contact your department/division PeopleSoft representative to change your listing.
What if I want to change my contact information?
Contact information will need to be edited in PeopleSoft only, as Profiles imports personnel data directly from the PeopleSoft system. Note:. No changes made in Profiles will export to PeopleSoft.
My location is wrong, how do I correct it?
Your location information is imported from PeopleSoft and should be corrected by contacting your PeopleSoft representative.
Can I change my top 5 keywords?
No. The top 5 keywords are automatically generated from your publications. An algorithm calculates a weight for each of your keywords using the following factors:
- The number of publications
- Major/Minor keywords
- Your place in the author order
- Year published
Your top 5 keywords are those with the highest calculated weight and can change over time based on your current publications.
Can someone else make changes to my profile?
Yes. Users can add a proxy to make changes to his/her profile.
How do I add a proxy to edit my profile?
A proxy user is someone who has permission to edit a profile, such as your administrative assistant. In order to prevent unauthorized people to edit your profile, an individual must set up his/her profile to allow edit control for a proxy.
- Once logged in to Profiles, click "manage proxies" found in the top bar.
- Click the "add proxy" link under the "designated proxies" section.
- Search for a user by last name, first name, institution, or department.
- Click the desired person's name to add them as a proxy for your profile.
How do I remove a proxy?
- Once logged in to Profiles, click "manage proxies" found in the top bar.
- All of your currently assigned proxies will display in list form.
- Each proxy listing has an X to the right of his/her name.
- Clicking the X will remove that user as a proxy for your profile.
Managing My Publications
What if there is a publication that isn't really mine?
Publications are added both automatically from PubMed and manually by faculty themselves. Unfortunately, there is no easy way to match articles in PubMed to the profiles on this website. The algorithm used to find articles from PubMed attempts to minimize the number of publications incorrectly added to a profile; however, this method results in some missing publications. Faculty with common names or whose articles were written at other institutions are most likely to have incomplete publication lists. We encourage all faculty to login to the website and add any missing publications or remove incorrect ones.
How do I remove publications?
Once logged into Profiles select the "Edit my Profile" link and scroll to publication list. Each publication has an X to the right. By clicking the X a user may remove that publication from his/her list. Users can also remove an entire class of publication by clicking the Delete option directly underneath the Publications heading. This will allow all PubMed, custom (ones that you added), or all citations (PubMed + Custom) to be removed.

Publications are added both automatically from PubMed and manually by a faculty member. Unfortunately, there is no easy way to match articles in PubMed to the profiles on this website. The algorithm used to find articles from PubMed attempts to minimize the number of publications incorrectly added to a profile; however, this method results in some missing publications. Faculty with common names or whose articles were written at other institutions are most likely to have incomplete publication lists. We encourage all faculty to login to the website and add any missing publications or remove incorrect ones.
Adding publications to Profiles will not update your publications in the PeopleSoft Faculty Database.
How do I add publications?
Once you've logged into Profiles select the "Edit my Profile" link and scroll to publication list. There are three options to add publications
- Add PubMed – this will allow a user to search in PubMed or enter a search string customized by the user in PubMed.
- Add by ID – this allows a list of PubMed IDs to be entered(make sure to separate with a comma)
- Add Custom – this option allows you to enter any publication you would like that is not already part of PubMed. Only publications from scholarly journals should be added.
Adding publications to Profiles will not update your publications in the PeopleSoft Faculty Database.
